FREQUENTLY ASKED QUESTIONS ABOUT INTERNSHIP APPLICATIONS

1. IS IT MANDATORY TO OBTAIN AN OHS CERTIFICATE BEFORE BEGINNING AN INTERNSHIP?

Yes. You cannot begin your internship without an occupational health and safety certificate, and your internship will not be accepted.

2. DOES THE DEPARTMENT MAKE A DIFFERENCE WHETHER THE OHS CERTIFICATE IS LESS HAZARDOUS OR MORE HAZARDOUS?

Students in the Bus Captain Program are required to obtain a 16-hour high-hazard OHS certificate, while students in other programs are required to obtain a minimum of 8 hours of low-hazard OHS certificate.

3. WHERE CAN I OBTAIN AN OHS CERTIFICATE?

You can obtain an OHS certificate from our university's AFAMER center or from private companies.

4. WHERE CAN I DO AN INTERNSHIP?

Internships are offered in public institutions/organizations and private businesses, tailored to the specific needs, characteristics, and learning outcomes of each department/program.

However, you should make the final decision regarding your internship location based on the information you receive from your department advisors. In short, be sure to ask your department advisors about your potential internship locations before submitting your official application.

5. HOW CAN I FIND MY INTERNSHIP PLACE?

Students first conduct preliminary research on public and private institutions for their internship locations. You can obtain recommendations from your department advisors.

6. I CAN'T FIND AN INTERNSHIP PLACE. WHAT SHOULD I DO?

If you are unable to secure an internship within the timeframe specified in the internship calendar, you can apply during the next internship calendar.

7. I ALREADY WORK AT A WORKPLACE. CAN I DO MY INTERNSHIP HERE?

Yes, you can. Due to today's economic conditions, there is no problem for students who are currently employed (and can prove this to their advisor or Department Head with a payslip, proof of payment, corporate ID, official letter, etc.) to complete an internship at their current workplace.

However, the scope of activities of the institution/organization/workplace you are currently working in may not align with your program (such as a student in the Logistics Program working for a financial advisor). In this case, you should contact the Department Head.

8. WHAT HAPPENS IF I DO NOT RETURN THE "INTERNSHIP APPLICATION FORM" IN THE REQUIRED FORM AND/OR ON THE SPECIFIED DATE FOR ANY REASON?

Students who fail to submit their internship application form on time, other than for reasons specified in the Kütahya Dumlupınar University Just and Valid Reasons directive, are considered to have not completed their internship.

9. MY INTERNSHIP APPLICATION FORM IS REQUIRED I HAVE SUBMITTED IT TO MY DEPARTMENT ADVISOR OR INTERNSHIP OFFICE AS STATED AND ON THE SPECIFIED DATE. WILL I GET ONE OF THESE FORMS BACK LATER? IF SO, FROM WHOM AND WHEN WILL I GET IT?

If your internship employer requests it, you can pick up one of the Employment Application Forms you previously submitted to your Department Advisor or Internship Office (with your Social Security Institution (SGK) registration) from the INTERNSHIP OFFICE. There is no obligation.

10. I HAVE TAKEN ALL MY COURSES, CAN I GRADUATE WITHOUT INTERNSHIP?

A mandatory workplace internship is a graduation requirement, and graduation is not possible without completing an internship.

11. WHO CAN'T DO AN INTERNSHIP?

Those who have completed and successfully completed an internship before, or who have failed any one or more courses or missed a class during the Fall, Spring, or Summer Semesters, are exempt from the application form. Those who are not eligible for an internship cannot complete one.

12. CAN I START MY INTERNSHIP ON ANY DATE I WANT?

You can only complete your internship on the dates specified in the internship calendar.

13. HOW LONG WILL MY INTERNSHIP LAST?

According to regulations, our students are required to complete an internship for at least 20 days. The occupational accident and occupational disease insurance premium for these 20 days will be paid by the Kütahya Dumlupınar University Rectorate. Students who wish to complete an internship for a longer period, provided they complete at least 20 working days. However, our university cannot pay insurance premiums for internships exceeding 30 days. Students who wish to complete an internship for longer than 30 days must notify the employer where they are doing their internship.

Completing the Timesheets and Internship File for 20 days is sufficient.

14. IS THE WORKPLACE INSURED? IT ASKS IF WE WILL NOT BE INVESTIGATED, WHAT SHOULD I ANSWER?

According to Law No. 5510, the Kütahya Dumlupınar University Rectorate is responsible for paying the 30-day occupational accident and occupational disease insurance premiums for students applying for an internship. After the relevant section of the form is approved by the workplace representative and the document is delivered to the student and our Vocational School, our University will process the Social Security Entry (SGK) e-declaration for the relevant dates. This information is already included on the application form, signed by the Advisor. It will be sufficient for the workplace representative to read the form. Our Vocational School does not issue any other documents or documents.

15. I AM ALREADY WORKING IN A WORKPLACE AS AN INSURED PERSON OR HAVE ALREADY BEEN INVESTIGATED, WILL I STILL BE INSURED?

Since you will be a "Student Intern" as stipulated by law, our university will only insure you against work-related accidents and occupational diseases. This insurance does not guarantee your eligibility for retirement or healthcare benefits, nor does it prevent you from benefiting from these rights if you are already insured.

16. WILL I RECEIVE A FEES FOR MY INTERNSHIP?

Kütahya Dumlupınar University does not pay its students who complete their internships. However, some private institutions where internships are held provide a certain amount of stipend or transportation/meals. This is entirely dependent on the agreement between the student and the institution where the internship will be held.

17. WHEN WILL MY INTERNSHIP END?

The internship ends 20 business days after the date specified as the "Internship Start Date" on the internship application forms. It is important to ensure that the timesheet is submitted to our Vocational School no later than 15 days after the end of the internship.

If you have a valid excuse and cannot complete the 20 days by this date, you can submit the timesheet to your Vocational School and continue the remaining days after this date. After all, your internship is considered complete when you complete 20 days of internship, even if it's only 4-5 days a week, and submit the timesheets for the total of 20 days to your Vocational School. The important point here is that the timesheet must be submitted no later than 15 days after the end of the internship (i.e., no later than 15 days after the total of 20 days).

18. MY INTERNSHIP IS OVER, WHEN CAN I SUBMIT MY FILE?

It must be submitted within 15 days after the end of the internship.

19. I STARTED MY INTERNSHIP BUT STOPPED IT SOME TIME LATER. WHAT SHOULD I DO NOW?

If you have to leave your internship after starting it, please submit a letter addressed to the Vocational School Directorate, stating the reason, to the INTERNSHIP AFFAIRS OFFICE with the approval of your workplace representative.

20. HOW CAN I OBTAIN AN INSURANCE CERTIFICATE?

You can obtain your insurance document through your own e-government system after it is processed by our Vocational School's Internship Affairs Unit.

21. WHEN WILL MY INSURANCE BE PROVIDED?

If all your documents are complete and accurate, your insurance will be processed by our Vocational School's Internship Affairs Unit no later than one week before your internship begins.

22. WHAT IS A TIME SHEET?

Timesheets are a type of attendance sheet. They show which days a person went to work and how many days they worked in the specified period. These sheets are used in the calculations required for premium payments; in other words, they show how many days and for which days premiums must be paid.

23. WHAT HAPPENS IF I DON'T RETURN THE TIME SHEET ON TIME?

The internships of students who fail to submit their timesheets on time will be voided, even if they have completed 20 working days. Therefore, to avoid wasting your efforts, please read the instructions on the schedules carefully and ensure you meet the deadlines.

24. HOW DO I SUBMIT MY INTERNSHIP FILE? WILL THERE BE AN EVALUATION EXAM?

Evaluations will be conducted entirely by the Departmental Internship Committee. This committee will also decide on the evaluation method (oral or based on a file).

Accordingly, you can submit your file in person, or if your Department Advisor or the internship office accepts it, you can submit it by courier or mail. Please contact your Department Advisor or the internship office for information on this matter.

25. I CAME THROUGH A HORIZONTAL TRANSFER, HAD INTERNED AT A PREVIOUS SCHOOL. WILL I BE CONSIDERED EXEMPT?

After submitting your internship documentation with a cover letter to your advisor, it will be evaluated by the Internship Committee, and if deemed appropriate, you will be exempt.

26. MY INTERNSHIP SCHEDULE DOES NOT MATCH MY NATIONAL INTERNSHIP PROGRAM DATES. WHAT SHOULD I DO?

When determining your internship schedule in the National Internship Program, you must choose one that aligns with our Vocational School's internship schedule. Different dates will not be accepted.

27. THE COMPANY WHERE I DID INTERNSHIP PAID ME A FEE. DO I NEED TO SUPPLY A RECEIPT AND A WORKPLACE AGREEMENT?

YES. You must submit the Workplace Agreement, available on our Vocational School's website, and your receipts along with your internship notebook.

28. CAN I GET TREATMENT WITH INTERNSHIP INSURANCE? DOES INTERNSHIP INSURANCE COUNT AS A NORMAL PREMIUM?

Since internship insurance covers occupational diseases and accidents, you cannot receive treatment. It does not count as a bonus day.

29. DOES MY INTERNSHIP GRADE AFFECT MY GPA OR SEMESTER GPA?

Your internship grade is entered into the Student Information System (OBS) as YT or YZ by your internship advisor. Your internship grade does not affect your GPA or semester GPA.

30. WHERE CAN I OBTAIN AN INTERNSHIP RECORD?
